Email Updates from TRIO Team

Before: The copy‑paste nightmare

You have an important announcement: meeting venue changed, a tournament schedule, a guest speaker, or an emergency alert.

What happens next?

  • WhatsApp → half the members miss it.
  • Email → you manually copy addresses from a spreadsheet.
  • Asking secretaries to forward → the message gets lost in translation.

And if you’re a regional coordinator (e.g., Lions District, Toastmasters Division, sports league) trying to reach all clubs? Multiply the pain by twenty. image

What’s new: Broadcast emails from inside TRIO

Starting May 2026, platform administrators can send rich, personalized emails to any audience – all clubs, all Rotaract clubs, custom groups, or specific roles.

And here’s the exciting part: this framework is built so that clubs and regional bodies will get the same ability in a future update.

So today, TRIO sends broadcasts for us (the platform team). Tomorrow, you will send broadcasts to your members.

How it works (right now for platform admins)

1. Build your email with a visual editor

We integrated TinyMCE – the same editor you’d find in email marketing tools. You can:

  • Add a title and multiple content blocks
  • Style each block independently (font size, color, alignment)
  • Insert links, lists, images – everything you expect

2. Personalize with Liquid variables

Don’t send “Dear Member” to everyone. Use tags to insert:

  • {{recipient_first_name}}
  • {{club_name}}
  • {{current_membership_year}}
  • And more (official roles / committee roles)

Write once. Personalize for thousands.

3. Choose your audience

Today, platform admins can select:

  • All club admins (every club official user across all clubs)
  • Rotary clubs only (or filter by other types in the future)
  • Rotaract clubs only (youth clubs)
  • Custom audience – pick specific clubs and/or specific roles (e.g., “Club presidents in clubs 45, 67, 89”)

4. Send in two smart modes

Per‑group mode (default for platform)

  • One email per club, addressed to the primary official
  • Other officials are CC’d
  • Reduces inbox clutter, improves deliverability

Per‑individual mode

  • One email per person
  • Better for targeted announcements (e.g., “Treasurers training session”)

5. Preview, send, track

Before sending, you see a live preview of exactly what the email will look like (including personalization). After sending:

  • Track opens
  • See delivered vs failed deliveries
  • Each delivery is recorded for audit

What this means for your club (and region) – coming soon

The framework is already built. We are now working on the interfaces that will let:

Clubs send broadcasts to:

  • All members of the club
  • Specific committees (e.g., Service Projects, Fundraising, Events)
  • Event attendees
  • Custom groups (e.g., “Members who haven’t paid dues”)

Regional bodies (Lions Districts, Toastmasters Divisions, sports leagues) send broadcasts to:

  • All clubs in the region
  • All club presidents, secretaries, or treasurers (across clubs)
  • Custom clusters of clubs (e.g., “Clubs in Zone A”)

  • Advanced filters – e.g., “members who joined in the last 6 months”
